Louvain-la-Neuve, 2 February 2011 – The stock exchange listed company I.R.I.S., (EURONEXT Brussels: IRI), specialized in Intelligent Document Recognition (IDR) 1, Enterprise Content Management (ECM) 2 and complex infrastructure for Information and Communication Technology (ICT) 3, is pleased to announce that it has been awarded a new contract by Jacques Delens for the expansion of the existing invoice digitisation and document management project.
The initial project started in 2008 and covered the digitisation and management of incoming invoices. Now, all incoming mail (paper, fax, electronic) will be captured (IRISPowerscan) and placed in a document management system (IRISNext) – enabling a secured management of tens of thousands of documents per year and leading to easier sharing and collaboration and a faster search capacity.
Jacques Delens is a construction and development company incorporated in 1967, in Belgium. The company joined the BESIX Group, a major international player in the field of construction, in 1982. Handling contracts in both the public and the private sectors, the company engages in the construction, renovation and restoration of office buildings, housing, industrial complexes etc.
Initial project
In 2008, I.R.I.S. implemented a business solution for the automatic reading and processing of incoming invoices at Jacques Delens. Since its implementation, once an invoice is scanned and its content recognised, it passes through an approval workflow so that the correct person can execute the required task (approval, payment, refusal, etc.). The invoice is also electronically stored & archived in a central enterprise content management system. Around 25.000 invoices per year are now treated this way.
Expansion of the project
After the successful implementation of the initial project in 2008, Jacques Delens asked I.R.I.S. to expand the process to all incoming mail in paper, fax and e-mail format. Whereas the previous phase only covered the departments involved in the invoice payment process, this expansion will cover all departments within the company.

"Once the system has proven its merits in one department, it can then be expanded throughout the organisation while the customer knows it will be successful – that's a comfortable position to be in."
The existing capture software has been migrated to IRISPowerscan, I.R.I.S.' production scanning and OCR solution that supports the most popular high-speed scanners. Once the documents are digitised, they are stored safely in an IRISNext secured environment ; this digital archive enables quick and easy search and access to certain types of documents, which leads to higher productivity and employee satisfaction for the ca. 100 users of the system. Tens of thousands of additional documents are expected to be processed on a regular base.
