Judy Keysa, who manages the Student Record Department at the Rochester City School District, knew they needed to make some changes in the way they retrieved and archived their student records. “We have 19 secondary schools in our district and our student records are archived on paper as well as microfilm,” says Keysa. “When we receive a request for a student record it takes us approximately an hour to retrieve the paper or microfilm record and print it out. Keep in mind that a single student record may consist of approximately 88 to 120 pages of information with the average running around 45 pages or so.”
The district knew they needed a new retrieval solution to replace their microfilm reader which was painfully slow. It was also crucial for the school district to address their storage issues as well, as they had only a finite amount of shelf space to store their expanding student record books.
